MINUTES OF Downtown Waterville Farmers' Market Association (DWFMA) ANNUAL MEETING January 16, 2007
Discussion/adoption of By-Laws Much discussion, motion to adopt By-Laws passed, 8 for, 4 opposed, and 1 abstained. Relationship to Waterville Main Street (WMSt) is in need of formalization. Election of Officers of the Steering Committee
Winter Market Motion for Winter Market 2007/08 (open only to market members) to occur on the third Thursday of each month, November-April, from 2-4pm, passed unanimously. These new dates will be included in the updated brochure. List of probable market voids Cheese, corn, blueberries, and fish were identified as voids. Consensus was reached that existing members should re-evaluate and submit plans for new products in their 2007 reapplication, as some voids may thereby be filled. Applications will be sent to Shannon at WMSt, where they will be evaluated and a spreadsheet exposing true voids will be created. New members to fill voids will be identified and sought out. New applicant acceptance process Applications will be sent to WMSt, with checks payable to DWFMA, deadline March 30, 2007. Applications will be reviewed and voted upon at a general meeting in April 2007. All information concerning the application process will be posted online at the Market homepage. Clarification of the Market’s money flow WMSt will handle promotional funds from Maine General, as well as credit their sponsorship on promotional materials. Steering Committee will draft a budget proposal to be discussed and called to vote at the next general meeting. The Email Newsletter Thanks Clayton! Information can be sent to him via email or in person at market, to be compiled into an email that will be available to all subscribers. Market website has the link to subscribe. Application changes Year printed at the top, to appear 200_, enabling the applicant to complete the year. Winter months will be included as options in the ‘indicate seasons’ area. “New Member?______” will appear in the personal information area. Update information regarding the return of the completed application, including to whom to make out the checks. Define on the application when the decision to accept any new members will be made, and when the DWFMA will be depositing the checks. Animals at Market If you bring animals, bring hand sanitizer. Practice biosecurity as well as following federal regulations. Updating the Market Rules Steering Committee will create a revised draft of Market Rules to be discussed and called to vote at the April general meeting. Please email any suggestions to the members of the Steering Committee. Old (current) Market Rules will be sent to new applicants, with the stipulation that they are under review and will soon be updated. Augusta Market Informational meeting January 24, 7pm, Augusta City Center Room B (City Center is next to Fort Western). Contact Leif Dahlen 626-2305 for more information. Food Stamps Electronic (EBT) format, we would need a credit card processor. Committee formed of Hanne, Dylan, and Shannon to consider options for accepting/processing Food Stamps. Marketing Conference in Sturbridge, MA Motion to offer a maximum of two member volunteer attendees a total $500 to cover registration, lodging, and travel, but not food, passed unanimously. It is expected that if anyone accepts this offer, they will report back for the benefit of the members of the DWFMA. Whole Foods, Portland Interested in wholesaling local produce. Market Dates 2007 Summer Market will open May 3, 2007. Summer Market will close October 25, 2007.
Proposal of formal relationship between DWFMA and WMSt reviewed/accepted as (perhaps?) an Article of the Market By-Laws. Review of market voids spreadsheet, thanks Shannon for compiling! Also discussion of options for filling these voids. Review/acceptance of new member applications. Review of the new (updated) application format. Review/acceptance of budget proposal and promotional plan drafted by the Steering Committee. Review/acceptance of changes in the Market Rules drafted by the Steering Committee. Review/acceptance of the options to accept Food Stamps by the Food Stamps review committee.
Meeting on February 1 at 7pm at WMSt. By-Laws relationship to WMSt. Revision of Market Rules. Draft budget/promotional plans.
